System 07: Front office & lead queue

Who owns the queue, Monday huddles, and handoffs when you are on the truck. HVAC & plumbing customer acquisition curriculum.

Curriculum system in the free Booked Jobs Machine (you run it). Same systems when I install for you (Booked Jobs Machine - Installed). New here? One system this week - not all 12.

At a Glance

  • Outcome: One named queue owner, clean CRM stages, and a 15-minute Monday rhythm.
  • Time this week: 45–90 minutes
  • Depends on: Systems before this one for clean data
  • Unlocks: Later systems (paid, scoreboard) need this foundation
  • Tools: Leak score · Templates · Checklists

Do This Week

  1. Write on a sticky note: queue owner name + backup.
  2. Map CRM stages to: New → Contacted → Quoted → Booked → Done/Lost.
  3. Create a simple routing rule: paid leads never sit unclaimed over 5 minutes.
  4. Schedule Monday 15-min huddle (even solo - review last week’s four KPIs).
  5. Print front office checklist section if you use printable lists.

Owner Checklist

  • Queue owner assigned
  • No lead older than 24h in New without note
  • Monday huddle on calendar
  • Handoff notes for techs (gate codes, pets, prior visits)
